Provides administrative support for a broad range of functions in the Eastern Band of Cherokee Indians (EBCI) Tribal enrollment office, which includes greeting visitors, correspondence, answering telephone, etc. Serves as initial contact for office. Screens telephone calls by providing as much information as possible.
- Provides administrative support in various enrollment office functions.
- Answers and screens a high volume of incoming telephone calls and directs calls appropriately.
- Maintains daily log of telephone calls and visitors.
- Perform audit of individual enrollment files
- Assist with the production of enrollment cards
- Greets all visitors providing general enrollment information.
- Refers visitors to the appropriate staff member when necessary.
- Distributes all enrollment related forms.
- Receives, stamps, and separates incoming correspondence.
- Responds to a high volume of general inquiry correspondence.
- Maintains filing system for all correspondence sent.
- Corresponds with all general enrollment information telephone and email requests.
- Acts as a Notary Public as needed, maintains notary certification.
- Performs duties according to established safety procedures and Tribal policy.
This position is supervised by program leadership. This position is not responsible for supervising others.
Experience: One (1) year of related experience required. Experience to include office management or a clerical position.
Education: High School Diploma or GED Equivalent required.
Licenses & Certifications: Valid, insurable NC Driver’s License required. Required to obtain Notary Public certification within one (1) year of employment.
- Must be knowledgeable of EBCI Tribal company and enrollment office policies and procedures.
- Must have working knowledge of office equipment such as: telephone system, calculator, computer (Microsoft Word), printer, copier, fax machine, transcriber, postage machine, laminator, etc.
- Needs an understanding of Tribal culture, history, and genealogy.
- Must have a thorough knowledge of clerical duties involved in job to meet established goals and objective.
- Six (6) months to a year to become proficient in this position.
